Wedding table number ideas: photos, coasters and cards

The most popular wedding table numbers are printed cards of 4 x 6 in or 5 x 7 in in a holder, photo table numbers with a different picture of the couple at each table, and round cards in small wood stands. Other ideas include numbers printed on wine glass place card coasters and tables named after places or songs instead of numbers. Whatever the style, guests need to read the number from across the room, so use large numerals and set the card high enough to show over the centerpiece. This guide covers each idea, the common sizes and a few practical tips.

Classic printed table numbers

A printed card in a holder or frame is the simplest choice. Use the same paper, fonts and colors as the invitation so the tables match the rest of the stationery. Large numerals, about 3 in tall on a 5 x 7 in card, are easy to read from the entrance. Printing the number on both sides means guests can read it from any direction.

Photo table numbers

Photo table numbers give guests something to talk about while they find their seats. Couples often use one photo per table to tell a story, such as:

  • A photo of the couple from each year they have been together
  • Places they have traveled, with the city and year
  • Childhood photos of each partner, matched with the table number for their age
  • Photos with the guests at that table

Put the table number large on one side and the photo on the other, or print the number over the photo in a light color with a dark band behind it so it stays readable.

Round cards in wood stands

Round cards in low wood block stands are a clean, simple look that suits beach, garden and country club weddings. The card can carry a photo, a number or a short message. We printed the round photo card shown above for a wedding, and the same style works for birthdays and anniversaries. See table cards for shapes, sizes and stands.

Numbers on wine glass place card coasters

A wine glass place card coaster combines the table number, the place card and the meal card. Each coaster has a die-cut opening that slips onto the stem of a wine glass. The front shows the couple's photo, and the back shows the guest's name, table number and meal choice, such as filet, fish or vegan. Guests find their seat by their name, servers can read the meal choice, and guests take the coaster home afterward. See wine glass place card coasters.

Table names instead of numbers

Some couples name each table instead of numbering it. Common themes include cities they have visited, streets they have lived on, favorite songs or books, and local landmarks. If you use names, add a small number to each card as well, because caterers and servers usually work from numbers.

Matching the seating chart

Guests usually find their table from a seating chart or escort cards near the entrance. Use the same names or numbers, fonts and colors on the seating chart and the table cards so guests can match them quickly. A seating chart on a large board is easy to read on an easel. See wedding signs and place cards.

Practical tips

  • Print one card per table plus two or three spares in case the table count changes.
  • Set the card high enough to show over the centerpiece, using a stand or a tall holder.
  • Print the number on both sides for round tables in the middle of the room.
  • Decide on the head table or sweetheart table label before you print.
  • Pack the cards in table order and label the box for the planner or venue.

Common questions

What size should wedding table numbers be?

5 x 7 inches is the most common size, and 4 x 6 inches is also common. Both fit standard table number holders.

Should table numbers be printed on both sides?

Yes, for round tables in the middle of the room, so guests can read the number from any direction.

How can I use photos for table numbers?

Use a different photo of the couple for each table, such as one from each year together or from places you have visited, with the number printed large on the card.

Can table numbers double as place cards?

Yes. Wine glass place card coasters show each guest's name, table number and meal choice on one piece.
